Pertamina Hulu Rokan Builds Modern Work Ecosystem with Microsoft

Jakarta, 10 March 2022 – Following Pertamina Hulu Rokan (PHR)’s new responsibilities to manage the Oil and Gas of the Rokan Working Area (WK) since August 9, 2021, PHR needs to make the transition process of its large-scale information technology system seamless. Recognizing the huge contribution of information systems technology in the process, PHR cooperates with Microsoft in implementing modern technology for its employees.

PHR is modernizing this transition process to optimize its resources considering the many systems that need to be transitioned during a hybrid work situation. In addition, modernization is also aimed to increase the productivity of employees and partners by utilizing a company or personal computers for work. There are around 26 backend systems and more than 3,000 computer devices that need to get access and be active in Pertamina’s new system after 8 August 2021 at midnight, so that operational activities could run smoothly without interruption.

Yusfiannur, IT Infrastructure Architect Pertamina Hulu Rokan stated, “As part of the transition team, we faced several challenges in preparing this transition process. First is the speed of time. On August 9, 2021 at 00.00 WIB, all the old systems must have been replaced, and the new systems must be ready to use. We need to update the operating system for more than 800 computers of PHR employees who work from home and about 2,200 computers of employees who work in the office in such a limited time. Second, the complexity and the number of resources needed in the transition process when done conventionally. During the Covid-19 pandemic, employee safety is very important, therefore we must minimize physical interaction between employees and the IT team. This will be difficult to avoid if done with the old model where the system replacement process must be assisted by the IT team side by side. That’s why we used Microsoft Endpoint Manager to optimize this transition process.”

The endpoint is a computer device connected to the network to which it is connected; this includes personal computers (PCs), tablet computers, and smartphones. Through Microsoft Endpoint Manager, an endpoint management solution from Microsoft, PHR can prepare and execute the entire transition process in a hybrid way because all endpoints are managed on one platform. This supports a diverse device ecosystem, provides reliable protection that allows IT teams to have control over digital assets without affecting user productivity, provides integrated security with Zero Trust security controls, and protects devices so that they are always healthy and compliant.

The PHR transition process begins in January 2021 and is divided into six stages:

  1. Planning: At this stage, the transition team analyzes the various systems that need to be changed and identifies critical users to support the operation. Therefore, renewal can be carried out gradually based on a priority scale.
  2. Proof of concept: To test design and functionality, and observe the performance of endpoint solutions.
  3. Cutover plan: To plan for the termination of the system from the previous company to the new company which will be executed at the time of transition.
  4. Apps packaging: To pack applications for computer users, which are then available on the enterprise application portal.
  5. Build & piloting: To test the entire plan on pilot users to ensure all deployment scenarios can run as expected.
  6. Deployment: To delete the old system and download the new system (wipe and load) on thousands of devices used by PHR employees and their partners. In this deployment process, the entire system changed to the PHR system on August 9, 2021 at 00.00 WIB.

“During this transition process, we managed to quickly replace the computer system. The process also went well on the first day of PHR officially managing WK Rokan. We simply send one USB thumb drive and the procedures included in the Human Resource package to the employee’s home. Within 15 minutes of the wipe and load process, employees and partners can log into the new system and start working. Previously, this system replacement process took 1 to 1.5 months and involved large deployment teams. Now, we can get it done in a few days. Even employees and partners can do it by themselves,” explained Yusfiannur.

“As time goes by, we also saw a reduction in the time required for IT to help remote users by up to 20% and issue handling by up to 33%. From a security aspect, the IT team can also easily implement various configurations such as role-based access, enrollment restrictions, compliance policies, app protection policies, and conditional access,” Yusfiannur added.

The use of Microsoft Endpoint Manager in the PHR endpoint transition process is part of a pilot project for Pertamina as the holding company of PHR in implementing the modern workplace concept, where the company gives employees the freedom to choose the device they want to use (Choose Your Own Device whether it’s a company-owned device or a personal device (Bring Your Own Device). This success is also an example of the digital transformation of State-Owned Enterprises in encouraging sustainable national economic development through time.
